Post & Print Administrator - Publishing Co!
An opportunity has arisen for a Post & Print Room Administrator to join the facilities department of this great publishing company.
You will assist the Facilities Manager in the effective running of the Facilities department.
Your key responsibilities will be as follows:
1. Post Room Services
a. Sort and distribute incoming mail at correct times
b. Sort and frank outgoing mail in time for mid-day and evening collection
c. Complete despatch note for overseas mail
d. Complete despatch notes for courier services
e. Sort and distribute internal copies of publications
f. Management and recording of incoming and outgoing courier services and deliveries
g. Daily documentation of franking expenditure
h. Logging all Neopost top-ups and forwarding data to manager
2. Print Room Services
a. Printing ? copy printer and photocopiers ? including the recording and reporting of meter readings
b. Collating ? collating machine and hand
c. Binding ? comb and heat
d. Laminating
e. Stuffing ? hand and machine
f. Operation of power and hand guillotine
g. Replacing all used items to prevent any potential hazard
3. Office Services
a. Light bulbs ? replace and stock control
b. Portering
c. Maintain office machinery ? first aid and consumable replacement
d. Office moves ? assist Facilities Manager and Facilities Assistants
e. Reception cover ? occasional lunch time cover + breaks
f. Re-cycling ? remove and replace re-cycling bins and arrange collection
g. Copier paper ? regular distribution to all floors
Performance Measures.
1. Print Room
? Print Room and Stationery Store to be kept tidy at all times. Stationery deliveries to be stored away upon receipt
? Administering the metering and maintenance of all copiers and Print Room equipment ? including call-outs and toner replacement
? Colour copiers to be logged with department/cost code details
2. Delivery Management
? All incoming deliveries to be checked with delivery notes, logged in Post Room, and recipients in-house must be notified immediately and action agreed for larger scale items.
? Deliveries of small items to in-house recipients to be within 45 minutes of receipt in Post Room, ensuring they are signed for.
? All outgoing couriers to be logged with correct cost codes, including collections.
3. Print Room services
? Jobs to be completed by agreed deadline.
? All requests must go through Post Room email address and notification sent to requester on completion.
4. Photocopier and fax machines
? Photocopiers and faxes are to be running 90-100% of the time and all faults should be resolved or reported
? Ensure communication with staff affected is maintained throughout the resolution of the problem.
5. Stationery ordering
? Liaison with Receptionist for stationery ordering and returns.
? We should never run out of core items, particularly toner cartridges and paper.
? Check planned print/mailing tasks when ordering.

? Physical fitness is required for the role which includes a high level of lifting/shifting
