Site Office Administrator 16k 19k
Our client urgently requires a Site / Office Administrator to provide efficient secretarial and administrative support to the Project Manager including controlling and processing information received on site and maintaining full QA procedures.
Key Responsibilities:
· Answering telephone calls and general reception duties
· Diary management
· Arranging meetings (including booking room and making tea & coffee as and when required) and taking minutes if necessary
· Typing letters, faxes, memos and reports etc
· Filing of Site Forms & Documents in line with Project Filing System Structure,
· Monitoring, identification and maintenance of Project Documents and Drawings in line with Drawing Control and QA Procedures.
· Electronic preparation of requisitions and completion of Goods Received Notes for authorisation
· Preparation of weekly operations schedules and sundry typing requirements
· Ensuring the Accident book, H&S; Inspection sheets, Site Instruction and Works Inspections sheets are completed on site weekly, in line with EH&S; Procedures.
· Assisting the Project Manager and ensuring the following documents are completed and sent to Head Office on a weekly basis:
- Day works records
- Information requirement schedule
- Labour task allocation and timesheets
- Material return notes
- Performance records
- Plant movement records
- Plant return sheets
- Programme progress report
- Purchase order requisitions
- Site expenditure/expenses sheets/receipts/mileage returns for required staff
- Staff salary allocation
- Staff allocation spreadsheet detailing employee attendance (i.e. sickness absence, annual leave and special leave)
· Ensuring the Project Manager's monthly report and the H&S; Monthly Accident Statistics reports are completed and sent to the Operations Secretary (c/o Head Office) on a monthly basis
· Raising requisitions both electronic and paper based, for travel for site based staff & forwarding to the Travel Co-ordinator (c/o Head Office) to make necessary travel arrangements
· Photocopying completed contracts three times when received from the Quantity Surveyor and forwarding to Operations Secretary (c/o Head Office) for binding.
· Undertake any other duties within your sphere of knowledge, experience or competency as requested.
Essential Criteria
·Experience in a secretarial/administration role including minute taking
·Excellent IT skills including experience of MS Word, Excel, Powerpoint and Outlook
·Excellent communication skills
·Excellent organisation skills
·Ability to plan and organise workload
·Ability to work as part of a team and use your own initiative
·A recognised typing/word-processing qualification
·Experience in a similar role in a Construction environment
